Phases for a Seamless NetSuite ERP Implementation

1. Engage

The Engage phase encompasses initial activities necessary to start the project, concentrating on thorough requirement gathering from the client. Including the initial kick-off meetings and briefings, this phase aims to provide insights to the client regarding the project lifecycle, product features, and a key takeaway is for consultants to gain an in-depth understanding of the client’s business needs and expectations from NetSuite. It involves conducting process area-specific Personalization Sessions to evaluate and gather the business necessities, enabling consultants to configure the system accordingly. It’s essential that suitable resources attend these sessions to ensure effective and complete communication of business needs, thus allowing a clear set of expectations to be established. A further aspect of these sessions is to ascertain if all requirements can be met using standard system functionalities or if some customization is necessary for certain required functions. To ensure success in this phase, it’s vital that the business requirements are conveyed clearly to the consultants by the most well-informed resources within the client organization.

2. Drive

The Drive phase features a detailed demonstration of the NetSuite processes, known as Process Walkthrough Sessions. Drawing from the information and requirements collected during the Engage phase, the consultants show a configured NetSuite Account in a Sandbox (Test) Environment, utilizing a sample set of data. Careful consideration must be given to the selected sample data during the process walkthroughs since it should relate to current business processes, allowing the client to effectively comprehend and evaluate the configured system and address any concerns. Based on the feedback from the client organization during this phase, necessary actions are taken, and required configurational and setup modifications are executed to fine-tune the system.

3. Enable

After completing the Process Walkthroughs and necessary modifications, the Enable phase starts. This phase demands maximum participation from the client organization as it involves conducting process area-specific User Acceptance Testing (UAT). This includes engaging the client’s team in executing detailed test transactions based on real-time scenarios and data in the configured Sandbox Environment. The goal of this phase is to enable the client to thoroughly test a fully configured system and ensure that all requirements have been met, with the system behavior aligned as expected in all aspects, including transaction recording and report generation. The enable phase is also when the client’s team receives all the knowledge and training necessary to perform routine business transactions, facilitating a smooth Go-Live. It is advisable for all users to take part in this activity according to their roles, which allows for more thorough testing and validation of the configured system. Consequently, any existing issues can be identified and resolved prior to going live.

4. Convert

This is the concluding phase where the Production Environment is prepared for Go-Live, legacy data is fully imported into NetSuite, a system readiness check is performed, and Post Go-Live support is provided to the client. It is advisable to submit the complete legacy data promptly to prevent any delays that could cause transaction backlogs. Any issues identified after the Go-Live are addressed as part of the Post-Go Live support, and assistance is offered for performing routine transactions. In summary, each phase has its own set of objectives, and the key is to allocate suitable resources for each implementation task while tracking progress efficiently to ensure a successful implementation.
